This policy explains how we handle information relating to enquiries, customers, our website and marketing, including enquiries received through Facebook and Instagram.

  1. Information we collect

Depending on your interaction with us, we may collect:

  • Your name, email address, telephone number and location.
  • Your project address, requirements, budget and preferred timescales.
  • Correspondence, consultation details and information you provide in enquiry forms.
  • Plans, measurements, photographs, specifications, orders and payment records needed for your project.
  • Your marketing preferences, consent records and requests to stop particular uses of your information.
  • Website information such as IP address, browser and device details, cookie identifiers, pages visited, referral information and actions taken.

We receive information directly from you through our website, Meta instant forms, social media messages, telephone conversations, email and our work with you. Subcontractors and suppliers involved in your project may also provide relevant project information.

Emmie B Interiors manages enquiry and customer information manually. We do not currently use a customer relationship management system (CRM).

Optional website tracking operates according to your cookie choices. Please avoid including sensitive personal information in general enquiry forms.

  1. Why we use information and our lawful bases

Responding to enquiries and delivering projects

We use your details to respond to requests, prepare quotations, arrange consultations, manage orders and deliver agreed services.

Our lawful basis is taking steps at your request before entering into a contract, or performing our contract with you.

If you represent a business, we rely on our legitimate interests in communicating with that business and providing its requested services.

Business administration and security

We use relevant information to administer our business, protect our systems, prevent misuse, manage complaints and establish or defend legal claims.

Our lawful basis is our legitimate interests in operating and protecting our business and resolving disputes.

Legal obligations

We process information where necessary to meet legal requirements, including accounting and tax obligations.

Ongoing marketing

Our ongoing marketing channels are email, telephone and WhatsApp.

We rely on your consent for optional marketing through the channels you select. Responding to your enquiry or contacting you about an existing project is separate from ongoing promotional marketing.

Optional website tracking

We rely on consent for advertising tracking and the optional analytics described in our Cookie Policy.

Customer-list advertising

We rely on your specific consent for the customer-list matching and similar-audience activities described in section 6.

  1. Enquiries through Facebook and Instagram

When you submit a Meta instant form or contact us through Facebook or Instagram, we receive the details you choose to provide.

We use these details to respond to your enquiry, discuss your project and arrange the consultation or quotation you request.

Submitting an enquiry does not automatically subscribe you to ongoing marketing or give permission to upload your contact details to a customer-list advertising audience.

Meta also processes information under its own privacy policy:

https://www.facebook.com/privacy/policy/

  1. Website advertising and the Meta Pixel

With your advertising consent, we use the Meta Pixel to share website events with Meta Platforms Ireland Limited.

This helps us measure advertising performance, create audiences based on permitted website activity and show relevant Emmie B Interiors adverts on Facebook and Instagram.

Information shared may include IP address, browser and device details, cookie identifiers, page URLs and actions such as visiting a page or submitting an enquiry. Meta may associate this information with your Facebook or Instagram account.

You can accept or reject optional advertising tracking and change your choice through Cookie Settings on our website. Refusing optional tracking does not prevent you from making an enquiry.

Details about website technologies, their purposes and durations are provided in our Cookie Policy.

You can also manage your Meta advertising preferences at:

https://www.facebook.com/adpreferences/

  1. Customer and enquiry lists used for advertising

Where you have specifically agreed, we share your email address and/or telephone number with Meta to match your details to Facebook or Instagram accounts and create customer-list Custom Audiences.

We use these audiences to show relevant Emmie B Interiors advertising to people who have consented to this use.

Where you separately agree, we may also use your details as part of an audience that helps Meta identify other people with similar characteristics for our advertising.

Contact details are converted into hashed codes before being passed to Meta for matching. Hashing is a security measure; it does not make the information anonymous.

We do not treat a general enquiry, purchase, newsletter subscription or acceptance of website cookies as specific consent to these customer-list uses.

You can withdraw your consent by emailing enquiries@emmiebinteriors.co.uk. We will stop including your details in future uploads and arrange removal from the relevant customer-list audiences.

Withdrawal does not affect processing already carried out lawfully. You may still see our adverts through other advertising methods.

  1. Marketing choices

You can choose whether to receive ongoing marketing from Emmie B Interiors by email, telephone or WhatsApp.

These choices are optional and do not affect your enquiry, quotation or purchase. We use only the channels for which you have given the relevant consent.

You can:

  • Unsubscribe from marketing emails using the unsubscribe link.
  • Ask us during a telephone call to stop promotional calls.
  • Reply to a WhatsApp marketing message asking us to stop.
  • Email enquiries@emmiebinteriors.co.uk to change or withdraw any marketing permission.

Withdrawal does not affect processing already carried out lawfully.

You have an absolute right to object to the use of your personal information for direct marketing, including related profiling.

We retain a minimal suppression record where necessary to ensure we respect your choice.

  1. Who receives information

Emmie B Interiors handles enquiries and customer information directly. We restrict access to people who need the information for their work.

We may share relevant information with:

  • Our marketing consultant, where needed to manage enquiries or agreed marketing activities on our instructions.
  • Providers supporting website hosting and maintenance, email, electronic communications and secure storage.
  • Subcontractors, fitters, tradespeople and suppliers where necessary to quote for, arrange or deliver your project.
  • Accountants, legal advisers, insurers and other professional advisers where necessary.
  • Meta, for the activities described in sections 5 and 6.
  • Authorities or other recipients where disclosure is required by law.

We share only information relevant to the purpose. Providers acting on our instructions are subject to appropriate contractual requirements. Some recipients, including professional advisers and certain project suppliers, may act as independent controllers responsible for their own processing.

  1. International processing

Some technology and communications providers may process personal information outside the UK.

Before making a restricted international transfer, we must ensure an appropriate legal mechanism applies. Depending on the recipient and destination, this may be UK adequacy regulations or appropriate contractual safeguards, such as the UK International Data Transfer Agreement or UK Addendum, together with any required additional measures.

Contact enquiries@emmiebinteriors.co.uk for information about the destinations and safeguards relevant to your personal information, or to request a copy of applicable safeguards.

  1. How long we keep information

We keep personal information only for as long as needed for the purposes described in this policy.

Our normal retention approach is:

  • Enquiries that do not become projects: normally 12 months after our last meaningful contact.
  • Core project records: normally six years after project completion.
  • Accounting records: for the applicable statutory retention period, normally six years from the end of the relevant financial year.
  • Marketing information: until consent is withdrawn or you object, with a review after 24 months without meaningful engagement.
  • Customer-list audiences: membership is reviewed regularly and ends when the relevant consent is withdrawn, the information is no longer needed or the underlying marketing record is deleted.
  • Consent and suppression records: for as long as reasonably necessary to demonstrate compliance and respect your choices.

We may retain limited information for longer where justified by a legal obligation, an applicable guarantee or a live dispute.

Website cookie durations are explained in our Cookie Policy. Cookie expiry is separate from the period for which a provider may retain event or analytics information.

We delete or anonymise information when it is no longer required.

  1. Security

We use appropriate technical and organisational measures to protect personal information, including restricting access to people who need it for their work.

No method of transmission or storage is completely secure, but we take reasonable and proportionate steps to protect information against unauthorised access, loss and misuse.

  1. Your rights

Depending on the circumstances, you can request:

  • Access to your personal information.
  • Correction of inaccurate information.
  • Erasure of information.
  • Restriction of processing.
  • Transfer of information where the right to data portability applies.
  • An end to processing based on legitimate interests where your objection applies.

You can withdraw consent at any time and object to direct marketing.

Contact enquiries@emmiebinteriors.co.uk to make a request. We may need to verify your identity. We normally respond within one month, subject to lawful extensions.

Providing enquiry information is voluntary, but we may be unable to respond or provide a quotation without necessary contact and project details.

The advertising audience matching described in this policy involves automated matching and selection. It is used for advertising, rather than to decide whether you are entitled to our services.

  1. Complaints

Please contact us if you have concerns about how we handle your information.

You can also complain directly to the Information Commissioner’s Office:

Website: https://ico.org.uk/make-a-complaint/
Telephone: 0303 123 1113

You do not have to complain to us first.

  1. Changes to this policy

We review this policy when our activities change. The latest version will appear on this page with its update date.

Where required, we will bring material changes to your attention and obtain fresh consent before starting a new consent-based use of your information.
